Information for applicants on the collection and use of personal data

As part of any recruitment process, CIM A/S collects and processes personal data relating to job applicants. CIM A/S is committed to being transparent about the collection and use of data and to meeting the data protection obligations laid out by the General Data Protection Regulation (GDPR).

The purpose of this privacy notice is to make all job applicants aware of how and why we collect and use your personal information, both during and after a job application process.

 

What information does the organization collect?

With a view to evaluating your application CIM A/S collects and processes the personal data that appears from your application and your CV as well as any attachments. If you are invited to an interview, we will collect and evaluate the data you provide in that connection.

As part of our evaluation of you and your application, we may wish to obtain references from your previous and/or current employers. We will obtain references only from persons whose names you have stated in your application.

 

Purpose of processing and legal basis

CIM A/S needs to process data to take steps at your request prior to entering into a contract with you. CIM A/S has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows the organization to manage the recruitment process, assess, and confirm a candidate’s suitability for employment and decide to whom to offer a job.

CIM A/S relies on legitimate interests as a reason for processing data, and has considered whether or not those interests are overridden by the rights and freedoms of applicants and has concluded that they are not.

The organization will not use your data for any purpose other than the recruitment exercise for which you have applied.

 

Who has access to your data?

Your information will be shared internally for the purposes of the recruitment exercise. This includes managers and interviewers involved in the recruitment process. CIM A/S will not share your data with third parties, unless your application is successful and it makes you an offer of employment.

CIM A/S will not transfer your data outside the European Economic Area.

 

Security and data retention

Cim A/S takes appropriate technical and organizational information security measures to prevent and limit risks associated with processing personal data, such as unauthorized access, disclosure, misuse, alteration, and destruction. Only authorized personnel bound by secrecy have access to identifiable personal data.

If your application for employment is unsuccessful, CIM A/S will hold your data on file for up to six months after the end of the relevant recruitment process.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment.

 

Your rights as a data subject

When the company collects and processes your personal data, you have certain rights. You have the right to:

  • Request a copy of the personal data that the company processes and details of how the data are processed.
  • Request the rectification of any inaccurate data.
  • Require the organization to stop processing your data, for example where the data is no longer necessary for the purposes of processing.
  • Request to be erased. However, this can only be done provided that there is no other legal basis giving the company the right to retain the data.
  • Request that processing be restricted under certain circumstances, such as during a period when the correctness of the data is under investigation.
  • Exercise the right to data portability and oppose to profiling.
